1 Who We Are

MeetTask is a meeting task management tool that helps teams track action items, follow-ups, and accountability after meetings. The application is accessible at https://meettask.vercel.app.

2 Information We Collect

We collect information only when you actively use the app:

• Google Account data — your name, email address, and profile picture, obtained via Google Sign-In.
• Google Calendar data — meeting names, dates, and attendees from events you choose to import.
• Gmail contacts — email addresses from your contacts, only when you choose to import them to add meeting participants.
• Meeting and task data — meeting names, participant lists, task descriptions, due dates, and follow-up dates that you create within the app.

3 How We Use Your Information

The data we collect is used solely to operate the app:

• Authenticate you securely via Google OAuth 2.0.
• Display and manage your meetings and tasks.
• Import calendar events and contacts when you explicitly request it.
• Send meeting minutes to participants via email on your behalf.
• Create Google Calendar events for task follow-ups when you choose to do so.

4 Google API Usage

MeetTask uses the following Google APIs:

• Google Sign-In — for authentication.
• Google Calendar API — to import meetings and create follow-up calendar events.
• Gmail API — to send meeting minutes emails on your behalf.
• People API — to retrieve contacts for adding meeting participants.

Our use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.

5 Data Storage & Security

Your data is stored in a MongoDB database hosted on MongoDB Atlas (cloud infrastructure). We take the following measures to protect your data:

• All data in transit is encrypted via HTTPS/TLS.
• Database access is restricted by IP allowlist and authentication credentials.
• Google OAuth tokens are stored in encrypted sessions and are never exposed to the frontend.
• We do not store your Google account password.

6 Data Sharing

We do not sell, trade, or share your personal data with third parties, except:

• Google — for authentication and API access as described above.
• MongoDB Atlas — for database hosting (data processor, not a data recipient).
• Vercel — for application hosting (processes only request/response, no user data stored).
• Meeting participants — when you send meeting minutes, the content is shared only with the email addresses you explicitly choose.

7 Data Retention

Your data is retained as long as your account is active. You may request deletion of your data at any time by contacting us. Upon request, all meetings, tasks, and account data will be permanently deleted within 7 days.

8 Your Rights

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your account and all associated data.
• Revoke Google permissions at any time via Google Account Permissions.

9 Cookies & Sessions

MeetTask uses a single session cookie to keep you logged in. This cookie is essential for the app to function. We do not use tracking cookies, analytics cookies, or advertising cookies.

10 Changes to This Policy

If we make significant changes to this policy, we will update the "Last updated" date at the top of this page. Continued use of the app after changes constitutes acceptance of the revised policy.
